Privacy Policy
This policy explains what information Kalyx Suite collects, why, and how it is protected. It covers the Kalyx Suite website (kalyxsuite.in), the web app (app.kalyxsuite.in) and the Kalyx Suite mobile app for Android and iOS.
1. Who we are
Kalyx Suite is a GST billing, inventory, point-of-sale, accounting and payroll software made by Kalyx Technologies, India ("we", "us"). Contact: support@kalyxsuite.in, +91 8209777502.
Kalyx Suite is a business tool. A business signs up and creates a workspace; its owner then invites staff. The business decides what it records in its workspace and is responsible for that data. We process it on the business's behalf to run the service.
2. What we collect
- Account details — name, email, mobile number, role and permissions. Passwords are stored only as a secure hash, never in plain text.
- Business data the workspace enters — company details and GSTIN, customers and suppliers, products and stock, quotations, invoices, purchases, payments, expenses, bank entries, employees, attendance, leave and payroll. This data belongs to the business, not to us.
- Location — only at the moment a staff member taps Check in or Check out for attendance in the mobile app, to record where attendance was marked. We do not track location in the background or at any other time.
- Camera and photos — the camera is used only to scan barcodes / QR labels and to take a photo of a bill or document you choose to attach. Photos are stored only against the record you attach them to.
- Device token for notifications — a push token for your signed-in device, so we can send alerts such as approvals, low stock, payments and plan renewal reminders. It is removed when you sign out or turn notifications off.
- Subscription and payment details — the plan you pay for and the payment reference. Card, UPI and bank details are handled by our payment gateway (Razorpay); we never see or store full card numbers.
- Technical logs — sign-in times, IP address, device / browser type and error logs, used for security and to fix problems.
- Website enquiries — the name, phone and message you send through the form on kalyxsuite.in.
3. How we use it
- To provide the service: sign-in, billing, reports, GST returns, stock, payroll and the other features the workspace uses.
- To send notifications and emails the service needs (OTP codes, invoices you choose to send, approvals, renewal reminders).
- To process subscription payments and issue GST invoices for them.
- To keep accounts secure, prevent misuse and fix errors.
- To reply to enquiries and support requests.
We do not show ads, do not sell or rent any data, and do not use business data to train AI models or for marketing to the business's customers.
4. Mobile app permissions
- Camera — barcode / QR scanning and photos of bills. Asked only when you use those features.
- Photos / files — to attach a bill, receipt or document you pick.
- Location (while using the app) — attendance check-in / check-out only.
- Notifications — alerts you can turn off any time in the app or phone settings.
- Fingerprint / face — optional app lock. Your biometric data stays on your phone; we never receive it.
The app does not read your contacts, SMS, call logs or other apps.
5. Who we share data with
Only with service providers needed to run Kalyx Suite, and only what they need:
- Hosting — our servers in India store the workspace databases and files.
- Razorpay — to process subscription payments (and online payments a business collects from its customers, if it turns that on).
- Expo / Google Firebase Cloud Messaging — to deliver push notifications (device token and notification text only).
- Email delivery — to send OTPs, invoices and reminders.
- WhatsApp — only when a business links its WhatsApp or sends a bill on WhatsApp; messages are sent from the business's own WhatsApp.
We may disclose information if required by Indian law or a valid order from a government authority.
6. How we protect it
- Each business has its own separate database; one workspace can never see another's data.
- All traffic uses HTTPS encryption. Uploaded documents are stored privately and shown only to signed-in users with permission.
- Role-based permissions decide what each staff member can see (for example, cost price and profit can be hidden from staff).
- Daily backups are kept for a limited time so data can be restored after a problem.
7. How long we keep data, and deletion
Workspace data is kept while the subscription is active and for a grace period after it ends, so the business can renew or export its data. After that it may be deleted. Some records (such as GST invoices) may need to be kept longer where Indian tax law requires it.
To delete your account or your business's workspace, ask your workspace owner or write to support@kalyxsuite.in from the registered email. We will confirm and complete the request, keeping only what the law requires.
8. Your choices
- See and correct your profile details in the app (Profile).
- Turn notifications, location and camera access on or off in your phone settings.
- Ask us for a copy of your data or to delete it, using the contact below.
9. Children
Kalyx Suite is meant for businesses and is not directed at children under 18.
10. Changes to this policy
If we change this policy, we will update the date at the top. For important changes we will tell workspace owners in the app or by email.
